Jenks Public Schools Job Description 

 

Position: Class and Event Coordinator 

 

Reports to: Director of Community Education 

 

Supervises: None 

 

Qualifications:      

  1. High School diploma or GED required.
  2. Demonstrated ability to use oral and written communication effectively.
  3. Proficient computer skills required.
  4. Excellent interpersonal skills with students and adults required.
  5. Excellent organizational skills with high sensitivity to detail is essential.
  6. Satisfy all district requirements with regard to physical health and citizenship.
  7. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. 

Position Goal: To coordinate and facilitate the department’s classes and special events and to assist in the daily operation of the department. 

 

Essential Functions and Responsibilities:

  1. Coordinates and facilitates the department’s programs, meetings, and special events throughout the year.
  2. Coordinates the department’s classes and brochure production including:
    • Contacts existing instructors to request updated class information, plan future courses, and answer questions.
    • Seeks, contacts, and helps interview new instructors.
    • Prepares, collects, and submits instructor paperwork including contracts, Interview Statements, Labor Statements, invoices, and requisitions.
    • Collects class information from instructors, writes class descriptions, facilitates the proofreading process, and sends brochure copy to the print shop for layout.
    • Organizes the printing schedule and mailing process for department’s program brochures.
    • Prepares all facility use forms for site classroom usage and communicates with Sooner Cleaning.
    • Collaborates with site administrative assistants and staff to make sure they have updated class information and ensure there’s a safe process in place for students to get to class.
    • Prepares for classes and handles daily issues that arise with classes, instructors, customers, and facilities.
  3. Provides department support by assisting with general office, phone, and customer service duties as needed.
  4. Helps submit department and building Incident IQ requests. 
  5. Collects department Interview Statements and Labor Claims and prepares them for payroll.
  6. Performs all other duties as assigned. 

Employment Terms: Twelve (12) month classified hourly contract 

 

FLSA Qualification: Non-Exempt

Hearing/Speaking Requirements: Adequate to exchange information.
